20-day deadline · all 51 jurisdictions

Report new hires on time. Every state. Every 20 days.

Every state requires new hire reporting within 20 days of hire (some shorter). Used by the state for child support enforcement and unemployment compensation. Missed reports trigger state penalties and audits. Most payroll providers handle it but with gaps (multi-state employees, contractor-to-employee conversions, mid-cycle hires). We close the gaps with state-by-state coverage.

How it works

How we handle New Hire Reporting, end-to-end.

Every state requires new hire reporting within 20 days of hire (some shorter).

1

Payroll integration

We connect to your payroll (Gusto, ADP, QuickBooks, Rippling). New hires sync automatically. Manual entry available for businesses without integrated payroll.

2

State-specific reports

Each state has its own portal and format. We file with the right state agency in the right format. Multi-state employees are reported in the state where the work is performed.

3

Confirmation tracking

State confirmation captured and stored in your compliance vault. Audit-ready records for state inquiries.

4

Edge cases

Independent contractor reclassifications (now an employee), out-of-state remote workers, rehires after 60 days separation - all the cases payroll providers handle inconsistently.

FAQ

About the New Hire Reporting Service.

Is new hire reporting mandatory?
Yes. All 50 states and DC require it. Federal law requires states to mandate reporting. Used for child support enforcement (deducting wages of obligated parents) and unemployment compensation oversight.
What if my payroll provider does it?
Most do for in-state hires through main payroll. Gaps: multi-state employees, mid-cycle hires before first payroll, contractor-to-employee conversions, out-of-cycle hires. Our service closes the gaps.
What is the deadline?
20 days from hire (federal minimum). Some states are shorter (14 days). Date of hire is typically the first day work is performed.
What information is reported?
Employee name, SSN, date of hire, address. Employer name, FEIN, address. Some states also collect compensation. We pull from payroll automatically.
What about contractors?
Independent contractors do not need new hire reporting (no employment relationship). Reclassifications from contractor to employee do trigger reporting on the reclassification date. We handle the edge case.
What are the penalties?
$25-$500 per missed report depending on state. Add up across multi-state operations. State audits can trace back years. Small per-report penalties become large in aggregate.
